Administrative Assistant/ Bookkeeper - Family Child Care

We work with New Yorkers of all ages. We infuse a commitment to civic engagement, equity, and communal action into each of our programs, which include early childhood education, mental health and wellness, benefits assistance and eviction prevention, adult literacy and education, healthy aging, community and recreation centers, performing and visual arts, and youth development.
The Family Child Care program provides full-day home-based childcare services to children ages 6 weeks to 4 years of age. Following Early Learn program standards the program aims at providing comprehensive early childhood care and education including health, nutrition, and mental health. The program is funded through an Early Learn award from the NYC Department of Education.
Responsibilities:
Responsible for data entry of providers records in Salesforce
Collect and document fee payments received; maintain accurate records to ensure they are accessible for review and audits
Submit monthly petty cash receipts and complete reconciliation
Provide monthly updates to supervisors on families that have outstanding balances.
Follow-up with families and for collection of outstanding fees
Responsible for generating monthly, quarterly and yearly reports for the program and finance dept
Responsible for all CACFP related responsibilities, including but not limited to entering and tracking CACFP records such as attendance, meal count, enrollment, maintaining CACFP data management systems with accurate data entry, preparing bi-monthly reports for review with program staff and supervisors, submission of claims, payroll and payment, etc..
Review and complete monthly ACD-1 ( Child Attendance and Fee record) and submit to finance.
Providing parent letters ie. attendance verification, fees or taxes
Responsible for answering phones, faxing, scanning, making copies and filing
Responsible for maintaining up-to-date staff files for to ensure compliance
Place orders and maintain program and office supplies
Prepare Request for Payments for invoices, parent payment refunds and spending report for director
Assist with provider and staff trainings or /meetings
Assist with program self-assessment
Provide overall office assistance to Program Directors
Participate in staff trainings, meetings, and supervision.
Other duties as requested by supervisor to fulfill job responsibilities
Qualifications:
Associates Degree required
Proficient in Microsoft and computer skills
1-2 years of experience working in an office setting
Position requires travel within FCC Network catchment areas
Bilingual in English/Spanish or English/Cantonese or Mandarin preferred
Strong time and task management skills
Good interpersonal and communication skills, including the ability to work as part of a team
Work Schedule: Full time, Monday - Friday, 9:00am - 5:00pm, 35 hours per week, Hybrid schedule
