University Advancement

JOB SUMMARY

This position performs accounting duties related to the operations of the Middle Georgia State College Foundation, Inc.


MAJOR DUTIES

Foundation Accounting (35%)

  • Ensures adherence to internal financial controls
  • Manage Assets
  • Serve as fiscal agent for EBID
  • Processes accounts payable, 1099's, and payroll
  • Maintains insurance coverage and ensures that proper insurance is in place


Budget (10%)

  • Distributes quarterly budget reports to department heads; monitors departmental budgets
  • Reviews university advancement budget in conjunction with VP of Advancement
  • Prepares annual budgets for Board review
  • Prepares annual scholarship budget and works collectively with university financial aid, bursar's office, and business office to ensure proper spending


Audit (10%)

  • Works closely with auditors to facilitate the annual independent audit
  • Prepares and distributes stakeholder reports annually or as requested


Reporting (10%)

  • Prepares and distributes monthly contribution reports
  • Analyze and report on giving trends in the Foundation


Foundation Management (15%)

  • Works with the Executive Director to draft and maintain Foundation documents
  • Serves as the liaison to EBID, Audit Committee and Finance and Investment Committee for the Foundation
  • Serves as the point of contact for all contracts that the Foundation has entered with outside vendors, including banking and investments, ensuring all paperwork is up to date
  • Works with the Executive Director to plan and organize Full Board meetings


Gift and Bank Reconciliation (20%)

  • Reconciles all bank and investment accounts monthly; reconciles all deposits
  • Prepares monthly financial statements; reconciles contributions and pledges receivable to ensure that all gifts and pledges are accounted
  • Confirms the donors' designated funds are expensed according to directions and that proper documentation is maintained
  • Performs related duties as assigned


KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of computers and job-related software programs.
  • Knowledge of generally accepted accounting principles (GAAP).
  • Knowledge of IRS regulations.
  • Knowledge of University System of Georgia policies and procedures.
  • Knowledge of college policies and procedures.
  • Knowledge of AGB practices and procedures.
  • Skill in decision making and problem solving.
  • Skill in interpersonal relations and in dealing with the public.
  • Skill in oral and written communication.
  • Ability to synthesize financial data and information


SUPERVISORY CONTROLS

The Chief Development Officer & Vice President for University Advancement/ Executive Director of the Middle Georgia State University Foundation assigns work in terms of division goals and objectives and reviews work through conferences, reports, and observation of division activities.


GUIDELINES

Guidelines include GAAP, Governmental Accounting Standards Board guidelines, Financial Accounting Standards Board guidelines, AGB Code of Conduct and Business Ethics, Council for Advancement and Support of EducationPrinciples of Practice, Statement of Ethics and Donor Bill of Rights, Board of Regents & USG policies, and MGA policies and procedures. These guidelines require judgment, selection and interpretation in their application.


COMPLEXITY/SCOPE OF WORK

  • The work consists of varied accounting duties. Strict regulations and the need for accuracy contribute to the complexity of the position.
  • The purpose of this position is to perform accounting and Foundation duties in support of office operations. Success in this position contributes to the efficiency and effectiveness of those operations.

  • Contacts are typically with co-workers, other college personnel, board members, faculty, staff, students, alumni, bankers, vendors, and members of the general public.
  • Contacts are typically to give or exchange information, to resolve problems, or to provide services.

  • The work is typically performed while sitting at a desk or table.
  • The work is typically performed in an office.


SUPERVISORY AND MANAGEMENT RESPONSIBILITY

None.


QUALIFICATIONS

  • Minimum of a baccalaureate degree
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually interpreted to require 5-7 years of accounting experience


COMPENSATION CLASSIFICAITON

  • Position is exempt.
  • Salary grade is 18
